Invitation to Submit a Price Offer for Strategic Planning Workshop Services

The Global Foundation for Transgender Rights Protection invites hotels and other qualified service providers to submit price offers for the provision of hotel accommodation and event-related services for the Foundation’s Strategic Planning Workshop.
General Information about the Workshop
The workshop is planned for 10 participants and will take place from 2 to 5 September 2026.
Participants are expected to arrive on 2 September and depart on 5 September 2026.
Required Services
The Foundation will consider price offers that provide the required services either as a comprehensive package or through a combination of related services.
The required services include:
- Accommodation for 10 participants from 2 to 5 September 2026 (3 nights);
- A suitable and private meeting room for the workshop;
- Meals and coffee breaks for participants during the workshop;
- Round-trip transportation for participants;
- Necessary technical equipment and a stable internet connection for the workshop.
The meeting room should be suitable for both plenary discussions and group work.
What Should the Price Offer Include?
To ensure a transparent and comparable evaluation process, applicants are requested to provide a clear breakdown of the following:
- Proposed accommodation arrangements and costs;
- Type and number of rooms;
- Proposed meal and coffee-break options and their costs;
- Daily rental cost of the meeting room and the facilities provided;
- Technical equipment included in the offer;
- Cost of transportation services, where applicable;
- Any additional services and their respective costs;
- Final total cost of the full package.
All quoted prices should include applicable taxes and mandatory charges. Applicants are also requested to specify the proposed payment terms and the validity period of the price offer.
Requirements for Service Providers
Preference will be given to organisations and individual entrepreneurs with relevant experience in providing hotel, event, or related hospitality services and with the capacity to ensure the timely and high-quality delivery of the proposed services.
The service provider must have the appropriate legal registration and tax status required for its operations.
Given the nature of the Foundation’s work, particular importance is placed on ensuring a safe, respectful, inclusive, and discrimination-free environment. The selected service provider will be expected to treat all participants equally and with dignity, regardless of their sexual orientation, gender identity or expression, or other personal characteristics.
Selection of Price Offers
In reviewing the price offers received, the Foundation will consider not only the total price but also:
- Compliance of the offer with the workshop requirements;
- Quality of the proposed accommodation and working conditions;
- Completeness of the proposed services;
- Relevant experience of the service provider;
- Ability to provide a safe and inclusive environment;
- Overall value for money.
The Foundation is not obliged to select the lowest-priced offer and reserves the right not to select any offer if the submitted proposals do not meet the workshop requirements or the available budget.
